These Terms & Conditions apply to all trainees enrolling on or after the effective date shown below.

1. Definitions

“BODYCORE” refers to BODYCORE

Training Ltd and associated BODYCORE entities.

“Trainee” refers to the individual purchasing or enrolling on a course.

“Digital Content” refers to all online learning materials, videos, assessments, worksheets, resources, and platform access provided via the BODYCORE app or associated learning systems.

“PT MENTOR®” refers to an independent, self-employed personal trainer, mentor, or assessor introduced to the trainee by BODYCORE.

2. BODYCORE’s Role (Booking Agent & Digital Provider)

BODYCORE operates UK-wide as:

A digital training provider, supplying access to digital learning materials and qualification content; and

A booking agent, facilitating introductions between trainees and independent, self-employed PT Mentors.

PT Mentors are independent contractors and are not employees, agents, or representatives of BODYCORE.

PT Mentors are responsible for the delivery of mentoring sessions, assessments, scheduling, and trainee interaction.

BODYCORE is not responsible for the operational delivery of mentoring once a PT Mentor has been allocated.

3. Immediate Digital Access & Commencement of Services

Upon successful payment:

- Trainees are granted immediate access to the BODYCORE digital learning platform and course materials;

- Trainees are required to complete a registration form and submit valid proof of identification;

- A PT Mentor is allocated, and availability is reserved;

- Administrative onboarding and system setup commence immediately.

These actions constitute delivery of digital content and commencement of services.

4. Express Consent & Statutory Rights Acknowledgement

By enrolling on a BODYCORE course and completing the registration process, the trainee:

Expressly requests immediate access to digital content;

Acknowledges that once digital content access has been granted, the statutory 14-day cancellation right for digital content is lost, in accordance with Regulation 37 of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013;

Expressly requests that services begin immediately, including mentor allocation and onboarding, and acknowledges that once services have commenced, any cancellation rights are limited and proportionate deductions may apply under Regulation 36 of the same regulations.

This acknowledgement and consent are confirmed via a mandatory tick-box declaration within the registration form.

5. Refunds & Cancellations

Due to the immediate provision of digital content and commencement of services:

Refunds are not available once platform access has been granted and a PT Mentor has been allocated.

Where cancellation rights exist under consumer law, BODYCORE reserves the right to apply proportionate deductions reflecting costs incurred, including but not limited to:

- Digital content access

- Platform licensing

- Administrative processing

- Mentor allocation and availability reservation

- Third-party or partner costs

Refunds will not be issued due to:

- Failure to engage with the course

- Change of personal circumstances

- Non-use of digital materials

- Missed, cancelled, or unused mentoring sessions

6. Payment Terms

By paying a deposit, the trainee agrees to pay the full outstanding balance in accordance with the agreed payment plan.

Failure to complete payment may result in:

- Suspension or termination of access

-Withholding of certificates

- Referral for debt recovery where applicable

7. Registration & Identification Requirements

Trainees must submit:

- A completed registration form; and

- Valid proof of identification.

No certificate will be issued until all required documentation has been received, verified, and full payment has been made.

8. Course Timeframes & Extensions

-Level 2, 3 & 4 PT: 6 months to complete

-Level 2 Gym Instructor only: 3 months

-Level 3 Personal Trainer only: 3 months

-Included CPDs: 12 months access

-52 Mini CPDs: Ongoing access

If a trainee does not complete within the allotted timeframe:

A £300 re-registration fee applies unless an extension has been granted in writing.

Expired CPDs may be re-registered at £150 per qualification.

9. PT MENTOR® Sessions

PT Mentors are self-employed and manage their own availability and schedules.

Sessions cancelled with less than 24 hours’ notice are forfeited.

BODYCORE is not responsible for missed sessions due to trainee non-attendance.

10. Certification

Certificates will only be released once:

- Full payment has been received;

- All required assessments are completed;

- Registration and identification checks are approved.

11. Evidence of Delivery

The following constitute evidence of delivery of digital content and services:

- Registration submissions

- Platform access and usage logs

- Mentor allocation records

- Email, app, or messaging communications

12. Complaints & Appeals

Trainees agree to follow BODYCORE’s Complaints & Appeals Policy prior to external escalation.

All complaints must be submitted in writing and reviewed internally before referral to third parties.

13. Academic Integrity

Trainees declare that all coursework submitted is their own authentic work.

Academic misconduct, plagiarism, or falsification may result in disqualification without refund.

14. Version Applicability

These Terms & Conditions apply to all enrolments made on or after the effective date shown below.

Trainees enrolled prior to this date remain subject to the Terms & Conditions in force at the time of their enrolment.

15. Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of Scotland.

UK-wide consumer protection legislation, including the Consumer Contracts Regulations 2013, applies where relevant.
