
These Terms & Conditions apply to all trainees enrolling on or after the date shown below.
1. Definitions Terms & Conditions
“BODYCORE” refers to BODYCORE Training Ltd and associated entities acting as a booking and platform service provider.
“Trainee” refers to the individual purchasing access to BODYCORE services.
“Digital Content” refers to optional online learning materials, resources, and platform access provided by BODYCORE.
“PT MENTOR® / Training Hub” refers to an independent, self-employed personal trainer or training provider who delivers training and assessment services directly to the trainee.
2. BODYCORE’s Role (Booking Agent & Platform Provider)
BODYCORE operates as:
A booking and introduction service, connecting trainees with independent PT Mentors or Training Hubs; and
A digital platform provider, supplying optional learning resources to support trainees.
BODYCORE does not provide training services.
All training, mentoring, assessment, and qualification delivery are provided solely by the PT Mentor or Training Hub.
PT Mentors and Training Hubs are:
- Independent contractors;
- Not employees, agents, or representatives of BODYCORE.
3. Contract Structure
Upon enrolment:
- The trainee enters into a separate contract for training services directly with the allocated PT Mentor or Training Hub;
- BODYCORE acts solely as an intermediary, facilitating the introduction and booking.
- BODYCORE is not a party to the training contract.
4. Payment Structure
BODYCORE may collect payments on behalf of PT Mentors / Training Hubs.
Payments may consist of:
- A BODYCORE service fee (for booking, platform access, administration, and digital resources);
- A training fee, payable to the PT Mentor / Training Hub;
- Where applicable, a finance charge relating to extended payment terms.
Where applicable:
- BODYCORE retains its service fee and any applicable finance charges;
- The training fee is allocated to the PT Mentor / Training Hub.
5. Digital Content & Platform Access
Upon payment:
- Trainees receive access to BODYCORE’s digital platform and resources;
- Digital content is provided as supporting material only and does not constitute delivery of the qualification.
6. Commencement of Services
Upon enrolment:
- BODYCORE begins administrative onboarding and mentor matching;
- The PT Mentor / Training Hub reserves availability and prepares for delivery of training.
This constitutes commencement of:
- BODYCORE’s booking and platform services; and
- The PT Mentor’s preparation for training delivery.
7. Refunds & Cancellations
7.1 BODYCORE Services
Fees relating to BODYCORE services (including platform access, onboarding, booking, and administration) are non-refundable once access has been granted and services have commenced.
7.2 Training Services
All matters relating to:
- Training delivery
- Mentoring sessions
- Assessments
- Outcomes
are the responsibility of the PT Mentor or Training Hub.
Refunds relating to training services are subject to the terms agreed between the trainee and the PT Mentor / Training Hub.
8. Payment Terms
By paying a deposit, the trainee agrees to:
Pay the full outstanding balance under the agreed payment plan.
Failure to pay may result in:
- Suspension of platform access (BODYCORE);
- Suspension of training services (PT Mentor);
- Withholding of certification;
- Referral for debt recovery.
9. PT MENTOR® / Training Hub Responsibilities
The PT Mentor / Training Hub is solely responsible for:
- Delivery of all training sessions
- Scheduling and availability
- Assessment and evaluation
- Trainee interaction
- Handling of delivery-related issues or complaints
BODYCORE has no control over, and accepts no liability for, the delivery of training services.
10. Trainee Responsibilities
Trainees must:
- Engage with both BODYCORE systems and their PT Mentor / Training Hub;
- Attend scheduled sessions;
- Complete required coursework and assessments.
11. Certification
Certification is issued subject to:
- Successful completion of all assessments (PT Mentor responsibility);
- Full payment of all fees;
- Completion of all registration requirements.
12. Evidence of Services
Evidence of BODYCORE services includes:
- Platform access logs
- Registration records
- Mentor allocation records
- Communication records
Evidence of training delivery is maintained by the PT Mentor / Training Hub.
13. Complaints & Appeals
BODYCORE-related complaints:
- Handled under BODYCORE’s internal policy.
Training-related complaints:
- Must be directed to the PT Mentor / Training Hub in the first instance.
14. Academic Integrity
Trainees must submit their own work.
Academic misconduct may result in disqualification by the PT Mentor / Training Hub.
15. Payment Options & Finance Arrangements
BODYCORE offers multiple payment options to provide flexibility to trainees.
15.1 Upfront Payment
Trainees may choose to pay the full course cost upfront.
This represents the standard price for BODYCORE services and booking of training with a PT Mentor or Training Hub.
15.2 Interest-Free Payment Plans
In certain cases, BODYCORE may offer interest-free instalment plans over a fixed period (e.g. up to 12 months).
These arrangements:
- Do not include any finance charges;
- May be limited to specific course packages or promotional offers;
- Are offered at BODYCORE’s discretion.
15.3 Extended Payment Plans (Finance Charges)
Where trainees choose to spread payments over a longer period (e.g. beyond interest-free terms), additional finance charges will apply.
These charges:
- Represent the cost of extended payment terms;
- Are separate from both the training fee and BODYCORE service fee;
- Are clearly disclosed prior to agreement.
15.4 Nature of Finance Charges
Any finance charges:
- Are not part of the training fee;
- Are optional and only apply where a trainee chooses extended payment terms;
- Reflect the cost of financing and deferred payment.
Training services remain available at the upfront price without finance charges.
15.5 Agreement to Payment Terms
By selecting a payment plan, the trainee agrees to:
- Pay all instalments in full and on time;
- Pay any applicable finance charges associated with extended payment terms.
16. Funds Held on Behalf of Training Providers
BODYCORE may collect and hold payments on behalf of PT Mentors / Training Hubs acting as a booking agent.
Funds relating to training services may be held pending completion of services by the PT Mentor / Training Hub and are released in accordance with agreed arrangements.
Such funds are held by BODYCORE on behalf of the training provider and do not constitute revenue of BODYCORE, except for any agreed service fees or finance charges.
17. Governing Law
These Terms are governed by the laws of Scotland.
UK-wide consumer protection legislation applies where relevant.
