BODYCORE Terms & Conditions of Enrolment

These Terms & Conditions apply to all trainees enrolling on or after the date shown above.

1. Definitions

In these Terms & Conditions:

“BODYCORE” refers to Body Core Training Limited (company number SC455312), trading as BODYCORE, and associated entities acting as a booking and platform service provider.

“Trainee” refers to the individual purchasing access to BODYCORE services.

“Digital Content” refers to optional online learning materials, resources and platform access provided by BODYCORE.

“PT MENTOR® / Training Hub” refers to an independent, self-employed personal trainer or training provider who delivers training and assessment services directly to the trainee.

“Pathway Package” refers to a package that includes more than one qualification level, such as the Level 2, 3 & 4 package, purchased as a single pathway towards the highest level included.

“Additional Certificate” refers to any certificate issued for a level below the highest level of a Pathway Package, at the trainee’s request.

2. BODYCORE’s Role (Booking Agent & Platform Provider)

BODYCORE operates as:

A booking and introduction service, connecting trainees with independent PT MENTORs® or Training Hubs; and

A digital platform provider, supplying optional learning resources to support trainees.

BODYCORE does not provide training services. All training, mentoring, assessment and qualification delivery are provided solely by the PT MENTOR® or Training Hub.

PT MENTORs® and Training Hubs are:

Independent contractors

Not employees, agents or representatives of BODYCORE

3. Contract Structure

Upon enrolment:

The trainee enters into a separate contract for training services directly with the allocated PT MENTOR® or Training Hub.

BODYCORE acts solely as an intermediary, facilitating the introduction and booking.

BODYCORE is not a party to the training contract.

4. Payment Structure

BODYCORE may collect payments on behalf of PT MENTORs® / Training Hubs. Payments may consist of:

A BODYCORE service fee (for booking, platform access, administration and digital resources)

A training fee, payable to the PT MENTOR® / Training Hub

Where applicable, BODYCORE retains its service fee and the training fee is allocated to the PT MENTOR® / Training Hub.

5. Digital Content & Platform Access

Upon payment, trainees receive access to BODYCORE’s digital platform and resources. Digital content is provided as supporting material only and does not constitute delivery of the qualification.

6. Commencement of Services

Upon enrolment:

BODYCORE begins administrative onboarding and mentor matching, and registers the trainee with the awarding organisation for every level included in their package.

The PT MENTOR® / Training Hub reserves availability and prepares for delivery of training.

This constitutes commencement of both BODYCORE’s booking and platform services and the PT MENTOR®’s preparation for training delivery.

7. Refunds & Cancellations

7.1 BODYCORE Services. Fees relating to BODYCORE services (including platform access, onboarding, booking, registration and administration) are non-refundable once access has been granted and services have commenced.

7.2 Training Services. All matters relating to training delivery, mentoring sessions, assessments and outcomes are the responsibility of the PT MENTOR® or Training Hub. Refunds relating to training services are subject to the terms agreed between the trainee and the PT MENTOR® / Training Hub.

7.3 Stopping Part-Way Through a Pathway Package. A trainee who chooses to stop at a lower level of a Pathway Package, with or without an Additional Certificate, is not entitled to a refund for any levels not completed. The full balance under the agreed payment schedule remains payable.

8. Payment Terms

By paying a deposit or selecting a payment plan, the trainee agrees to pay the full outstanding balance under the agreed payment schedule. Failure to pay may result in:

Suspension of platform access (BODYCORE)

Suspension of training services (PT MENTOR®)

Withholding of certification

Referral for debt recovery

9. PT MENTOR® / Training Hub Responsibilities

The PT MENTOR® / Training Hub is solely responsible for:

Delivery of all training sessions

Scheduling and availability

Assessment and evaluation

Trainee interaction

Handling of delivery-related issues or complaints

BODYCORE has no control over, and accepts no liability for, the delivery of training services.

10. Trainee Responsibilities

Trainees must:

Engage with both BODYCORE systems and their PT MENTOR® / Training Hub

Attend scheduled sessions

Complete required coursework and assessments

10.1 Completion Period. Trainees are expected to complete all coursework, assessments and registration requirements within the completion period for their package, measured from the date of enrolment:

Level 2, 3 & 4 Pathway Package: six (6) months to complete Level 2 and Level 3, followed by a further six (6) months to complete Level 4 (twelve (12) months in total).

All other packages: six (6) months.

Platform access and PT MENTOR® / Training Hub availability are provided on this basis.

Where a trainee is unable to complete within this period, an extension may be granted upon written request to [email protected]. Requests should be made before the relevant completion period expires and should state the reason for the extension and the additional time required. Extensions are granted at BODYCORE’s discretion and may be subject to conditions, including that all payments under the agreed schedule remain up to date.

Where no extension has been requested or granted, BODYCORE reserves the right to suspend platform access and the PT MENTOR® / Training Hub reserves the right to release any reserved availability. Reinstatement is available under clause 10.5. Any fees already paid remain subject to clause 7.

10.2 Pathway Packages. A Pathway Package is sold as a single pathway to the highest qualification it includes. For the Level 2, 3 & 4 package, that is the Level 4 Master PT qualification, which includes Level 2 and Level 3. The trainee is registered with the awarding organisation for all included levels at enrolment, and the package price includes one certificate: the certificate for the highest level the trainee completes.

Individual certificates for lower levels are not included in the package price unless this has been agreed in writing by BODYCORE before purchase.

10.3 Additional Certificates. A trainee may choose at any stage to stop and receive a certificate for a level they have fully completed. For example, a trainee may claim their Level 2 certificate to work as a Gym Instructor, or stop after Level 3 and claim their Level 3 diploma, which includes Level 2.

A £100 administration fee applies to each Additional Certificate. This fee covers the additional registration and certification costs that arise when a pathway registration is split. A trainee who continues to the next level after receiving an Additional Certificate may do so at no further cost, provided they remain within their completion period under clause 10.1.

10.4 Payments Before an Additional Certificate Is Released. For the purpose of this clause, each level of the Level 2, 3 & 4 Pathway Package is treated as one third of the total package price. Before an Additional Certificate is released, the total paid to date, including any deposit, must be at least:

One third of the total package price, for a Level 2 certificate; or

Two thirds of the total package price, for a Level 3 certificate.

For example, on the £2,299 Fully Mentored package, at least £766.33 must have been paid before a Level 2 certificate is released, and at least £1,532.67 before a Level 3 certificate is released. Where the amount paid is below this threshold, the trainee may make a one-off top-up payment to reach it. The £100 administration fee is payable in addition. Any remaining balance stays payable under the agreed payment schedule in line with clauses 7.3 and 8.

10.5 Reinstatement. Where a trainee’s completion period has ended and no extension has been granted, the trainee may request reinstatement to continue their package. A reinstatement fee of £100 applies per level reinstated, covering the cost of re-registering the trainee with the awarding organisation. Reinstatement is subject to all payments under the agreed schedule being up to date, and a new completion period of six (6) months will apply.

11. Certification

The certificate for the highest level completed on a package is issued subject to:

Successful completion of all assessments (PT MENTOR® responsibility)

Full payment of all fees

Completion of all registration requirements

Additional Certificates are issued subject to clauses 10.3 and 10.4, including payment of the £100 administration fee.

12. Evidence of Services

Evidence of BODYCORE services includes:

Platform access logs

Registration records

Mentor allocation records

Communication records

Evidence of training delivery is maintained by the PT MENTOR® / Training Hub.

13. Complaints & Appeals

BODYCORE-related complaints are handled under BODYCORE’s internal policy. Training-related complaints must be directed to the PT MENTOR® / Training Hub in the first instance.

14. Academic Integrity

Trainees must submit their own work. Academic misconduct may result in disqualification by the PT MENTOR® / Training Hub.

15. Payment Options

BODYCORE offers multiple payment options designed to make our programmes accessible to everyone. All payment options are straightforward and transparent — there are no hidden charges, no interest and no finance fees of any kind. Optional fees that apply only on request, such as the Additional Certificate and reinstatement fees in clause 10, are set out in full in these terms.

15.1 Upfront Payment (Best Value). Trainees may choose to pay the full course cost upfront. This option represents a significant saving on the full market value of the package and is the most cost-effective way to enrol.

15.2 Spread the Cost — No Interest Ever. BODYCORE offers flexible instalment plans, allowing trainees to spread the cost of their programme over 3, 12, 24, 36 or 48 months. These arrangements:

Carry no interest charges whatsoever

Carry no finance fees of any kind

Never cost the trainee more than the full listed market value of the package chosen

Require a £400 deposit for plans of 12 months or more (no deposit required for 3-month plans)

The full listed market value of each package reflects the genuine value of everything included. Trainees who pay upfront benefit from an exceptional saving below this value. Trainees who choose to spread the cost will pay up to, but never more than, the full listed market value — regardless of the payment term selected.

BODYCORE’s commitment: you will never pay a penny in interest or finance charges. The cost of spreading your payments is simply the difference between our discounted upfront price and the full market value of your chosen package — nothing more.

15.3 Agreement to Payment Terms. By selecting a payment plan, the trainee agrees to:

Pay all instalments in full and on time as per the agreed schedule

Pay the full outstanding balance should they wish to settle early at any point

16. Funds Held on Behalf of Training Providers

BODYCORE may collect and hold payments on behalf of PT MENTORs® / Training Hubs, acting as a booking agent. Funds relating to training services may be held pending completion of services by the PT MENTOR® / Training Hub and are released in accordance with agreed arrangements.

Such funds are held by BODYCORE on behalf of the training provider and do not constitute revenue of BODYCORE, except for any agreed service fees.

17. Governing Law

These Terms are governed by the laws of Scotland. UK-wide consumer protection legislation applies where relevant.
